Frequently Asked Questions

Who are Fleewinter?

Fleewinter are a small but mighty UK-based tour operator creating tailor-made trips to more than 60 destinations around the world.

Set up by Alisdair Luxmoore in 2004, we’ve since grown to almost 20 travel enthusiasts – and now each destination is run by a specialist who knows their region inside out.

No call centres, no generic packages, strictly no FOMO.

Just honest advice and excellent bespoke holidays.

How does the planning process work?

All great holidays start by sending the friendly team here an enquiry, either by emailing, calling, or using our ‘request a quote’ form that you’ll find on each page.

You’ll be connected directly with a destination expert who will discuss your ideas, make some suggestions, and create a bespoke itinerary for you.

A few tweaks and changes later, once you’re happy with the details, we’ll book everything.

You focus on being excited, we’ll focus on the admin!

Do we charge for planning your trip?

Our services are included in the price of your holiday – the Fleewinter team of travel experts make a commission from the boutique hotels that they work with.

We offer exceptional value for money and can typically secure better prices than booking directly.

For particularly complex itineraries, we may request a planning deposit – which will be fully deducted from your holiday cost once you book.

If you decide not to travel with us, the deposit covers the consultant’s time and supplier work already completed on your behalf, allowing us to give your trip the attention it deserves while ensuring that we can maintain fair working practices for our small, expert team.

How much is the deposit and when do you pay the balance?

We charge a 25% non-refundable deposit to confirm a booking. Using this, we confirm all the hotels, excursions and transfers so that all you need to do is start getting excited.

Your balance is typically due 8–12 weeks before departure, depending on the destination.

If you’re booking a last minute trip, we’ll ask for the whole payment upfront so that we can secure your accommodations and tours as quickly as possible.

The payment terms will be outlined clearly for each booking, so that you’re in the know the whole time.

What’s included in the price of your trip?

This depends on the itinerary, but you’ll always receive a detailed breakdown of exactly what’s included.

Typically, our packages include accommodation, transfers, guides, internal transport, selected meals, and handpicked experiences.

We make sure there are no nasty surprises – so if you need to be prepared to pay for extras, you’ll always be in the know.

We can also arrange international flights, but we charge a booking fee for these, so it’s worth discussing with your travel consultant whether you’d be better off booking these yourself.

How far in advance should you book?

This depends on the destination and season. Popular accommodations often sell out early – sometimes six months or more in advance.

We can create great last-minute trips too, but you may need to be a bit flexible with where you stay and perhaps having a slightly wigglier route!

When in doubt, get in touch with us early – and we’ll be able to make sure you have the holiday you want, when you want.

Do you need travel insurance?

Yes! It’s vital to take out adequate insurance as soon as you book your holiday.

In most cases, this is to protect in case you have to cancel – but also it’s important to make sure that you have suitable cover for the particulars of your holiday, just in case things go wrong while you’re on your trip.

Check our our Travel Insurance page here for a bit more info.

What are your cancellation terms?

We have a strict cancellation policy, and cannot refund payments if a holiday is cancelled. The reason for this is that we very quickly commit to costs to our partners (hotels, transport providers, advisers, payment processors) as soon as you pay your deposit.

If a holiday is cancelled, we are unable to get these payments back. It is therefore very important that you take out holiday insurance that covers cancellation as soon as you have booked – we can help provide documents for your insurer.

Depending on the destination and how long before your departure date, we might be able to help with a trip postponement. The most important thing is to get in touch with your personal travel specialist as soon as possible.

Why should you travel with Fleewinter?

We care. A lot.

Your holidays are really important. Not just because they’re fun, but because of what a holiday means – rest. Relaxation. Doing things simply because you want to. Quality time, whether as a couple, family, or solo.

Your holidays are something you look forward to, so we take planning them incredibly seriously. From the moment you enquire, right through to when you’re home, you’ll have one point of contact giving genuine and honest advice, and exceptional service.

One of our favourite client reviews has been this one: Thank you for filling the void, and providing the first class travel agent services that I thought were only memories of a bygone era.”

It sums up how we hope you’ll feel when you travel with us.
